Product manual

How to run your business
in Riksa AI

Written for the person who will actually use this — a director, an accountant, a sales manager. It assumes you know your business and nothing about software.

Every form and every box below is taken from the product itself: 67 forms · 910 boxes. A box marked Required will stop the form saving if it is empty.

Start hereThe chain everything follows

Every screen in this product sits on one chain:

Land → Project → Plots → Enquiry → Site visit → Quotation
      → Booking → Payment plan → Demands → Receipts
      → Registration → Handover → Maintenance

Each step needs the one before it. You cannot book a plot that does not exist, and you cannot raise a demand against a booking with no payment plan.

Why this matters more than any feature

When a screen refuses you, or a dropdown is empty, it is almost always a step earlier in this chain that has not been done yet. An empty plot dropdown means no plots. An empty project dropdown means no projects. Knowing the chain turns a baffling error into an obvious one.

The strictness is deliberate. A system that lets you book a plot you never created is a system that will one day sell the same plot to two families.

Start hereSetting up, in order

Do these once, in this order, before anybody starts working.

  1. Create your companyCompanies → Add company. Name, GSTIN, PAN, address, bank details. Everything else belongs to a company, so nothing can be created until one exists.
  2. Check your master listsAdministration → Master data. Cost heads, loss reasons, payment plans, road widths, plot facilities. Every form elsewhere picks from these lists — add a road width here and it appears on the project form.
  3. Look at the chart of accountsAccounting → Chart of accounts. Already set up for Indian real estate. Change it only if your auditor asks.
  4. Add your peopleAdministration → Users & roles. Give each person the narrowest role that lets them do their job.
  5. Change the admin passwordSettings → My account. Everybody was handed the same one, and a password everybody knows is not a password.
  6. Bring in your old dataAccount menu → Import your data, if you are moving from a spreadsheet. Companies first, then projects, then plots.
  7. Create a projectLand & projects → Projects. Fill in the DTCP and RERA numbers — they appear on quotations and a buyer’s lawyer will ask for them.
  8. Add the plotsPlot management → Add. Number, area, facing, road width and the guideline rate.

Only now is the system ready for a customer.

Start hereA day in the product

The whole flow, in the order it actually happens.

When this happensDo this
A walk-in arrivesCRM → Enquiries → Add enquiry. Name, mobile, which project. If they named a plot, pick it — the list narrows to that project.
They want to see the siteCRM → Site visits. Book it, and record what happened afterwards.
They ask for a priceCRM → Quotations. Pick the enquiry, pick the plot, enter the base price. A discount past your threshold goes for approval.
They agree to buyCRM → Bookings. Milestones or monthly instalments, the advance received today, and whether it is refundable.
An instalment falls dueSales → Demands. Raise it from the instalment that is due — every figure comes from the plan.
Money arrivesSales → Receipts. Record it against the demand. The booking, the plan and the ledger all move together.
Registration approachesRegistration & handover. Move through the nine stages; use Update message to tell the customer where they stand.
After handoverMaintenance. Monthly bills to owners, the corpus, and spend against collection.

Start hereRunning several companies

Most developers run more than one. One control governs it: “Working in”, the box at the top of the left menu.

Set it to a company and every screen narrows to that company — its projects, plots, enquiries, books and social pages. Set it to All companies and you see the group.

Check it before you enter anything

A booking entered while the wrong company is selected lands in the wrong company’s books. Moving it later means reversing entries in a period that may already be closed and filed.

Each company has its own Facebook page and its own Instagram. Connect each while that company is selected, and the Channels screen shows only that company’s pages — posting a Tenkasi layout from the Madurai page is a real mistake with a real cost.

Start hereBringing your old data in

Account menu, top right → Import your data. Excel (.xlsx) or CSV.

  1. Pick what you are importingNine kinds, numbered in the order they must be done. A plot cannot be imported before the project it sits in.
  2. Download the templateRight headings, one example row showing the format of a date, a phone number and a status. Delete the example row before uploading.
  3. Check the fileNothing is written. You get back every problem with its row number and column — “row 47, phone: must be 10 digits”.
  4. Import for realOnly enabled once the check comes back clean.
Why it refuses the whole file

If any row has a problem, nothing is imported. A half-imported file is the worst outcome — some rows in, some not, and nobody sure which. Better to hand back the line numbers and let the spreadsheet be corrected.

Dates are read the Indian way: 05-08-2026 is the fifth of August. Files up to 5,000 rows; split anything larger.

Start hereRoles and permissions

Account menu, top right → Roles & permissions.

A role decides what somebody can open. Ten ship with the system, and you can change what any of them may do or build roles of your own — a registration clerk, a part-time accountant who should see bills but not bank accounts.

  1. Pick a role, or press New roleA new role can start empty, or from one that is already close — “like a Sales Executive, but they can also see receipts”.
  2. Tick what it may do356 permissions grouped by module, with an All / None button on each group.
  3. Save changesIt takes effect on the next thing that person does. Nobody needs to sign out.
A new role starts with nothing

Building up from nothing is safe. Starting from a copy of Super Admin and trying to remember what to take away is how somebody ends up with more access than anybody intended.

Two things the system will not allow. Super Admin cannot be restricted — it is the role that can put every other role back, and a system whose last administrator has locked themselves out needs a developer to recover. And a role still assigned to somebody cannot be deleted, because that would leave them able to open nothing at all.

Give everybody the narrowest role that lets them do their job. Actions outside a role are hidden rather than disabled, so a narrow role is a simpler screen as well as a safer one.

Start hereRole, designation, and the words that look alike

Two words appear on several forms and mean three different things. This is the whole of it.

WhereWhat it is
Users & roles → Role The only one that decides anything. It carries permissions — a Sales Executive has 29, an Accounts Manager 170. Change it and the buttons that person sees change with it. Required, because somebody with no role can open nothing.
Users & roles → Designation Their job title. Site Engineer, Telecaller. Appears on screens and reports and decides nothing. Chosen from Master data → Designations so that “Sales Mgr” and “Sales Manager” do not become two jobs.
Sales team → Part in the team What somebody does on one team — closer, presenter, telecaller. It does not change what they can open; that is still their Role.
Site visits → Booked by Which desk took the booking. Reception, telecaller, channel partner.
Companies and Vendors → Their designation The job title of a contact person at another organisation — somebody who has no account here and never will. Free text, because their company’s job titles are not yours to standardise.
Why the outside ones are free text and the inside one is a list

Your own people should have titles from one list, so reports group them properly. A vendor’s Managing Director is theirs to describe, and forcing him into your list would be both wrong and useless.

If you remember one thing: Role is permissions. Everything else is a label.

Start hereWhy the screens change their words

This product is used by people selling seven different things, and calling them all “units” would be the software refusing to learn what business you are in.

So the menu says Plots & units — one name that is true whatever you build — and the screens themselves follow the project:

What you buildWhat the screen says
A layoutPlot management · Add plot · Plot availability
A villa schemeVilla management · Add villa · Villa availability
An apartment towerFlat management · Add flat · Flat availability
Row housesRow house management · Add row house
Farm plotsFarm plot management · Add farm plot
CommercialUnit management · Add unit
WarehousingShed management · Add shed
With “All projects” selected

If every project you run sells the same thing, the screens still use that word — a villa builder never sees “unit”. Only a company running a layout and a tower at once gets the neutral word, because there it is the honest one.

Start hereHRM — staff, attendance and payroll

HR sees everybody. Everybody else sees themselves, and nobody else.

That is not a setting — it is enforced on every request. An employee cannot open the staff list, cannot open a colleague's record, cannot see anybody's payslip, salary or claim, cannot see the company muster roll or leave book, and cannot run payroll. Asking for a colleague's payslip by its reference answers "That payslip is not yours."

Your own page is the account menu → My attendance & leave. Your attendance, your leave, your payslips, your incentive. It needs no permission, because it is guarded by being your own record.

The HR Manager role exists for this module and holds nothing else — an HR manager cannot see the land bank, the invoices or the receipts. A project manager runs a site and holds none of it: what anybody earns is not theirs to read. The Managing Director and the Accounts Manager see payroll, because somebody has to pay it.

The office runs staff, attendance, leave, claims and payroll from Users & roles → Staff & payroll. Each employee marks attendance, applies for leave, claims expenses and reads payslips from Account menu → My attendance & leave, or /my-hr. Send your field staff this link — it works on a phone and records their location when they mark in and out.

Two kinds of staff

KindHow their attendance is checked
Office worker Against the office: either its internet address, or a circle round the building. Set both up under Offices.
Field worker Wherever the work is. The mark carries the coordinates it was made at, and is judged on whether the reading looks genuine.
  1. Add your offices firstAn internet address, a pin, or both. Until there is one, office marks are recorded but not checked.
  2. Add your peopleSay which kind each one is — it decides how they are checked. Set the shift and the grace minutes.
  3. They mark in and outOne button. It knows which half of the day is missing. Their phone remembers who they are.
  4. Field staff must have location onThe page checks when they pick their name and tells them how to switch it on. Without a location there is nothing to record, so the mark is refused rather than saved blank. Office staff are unaffected — they are checked against the office network, which works indoors.
  5. You read the musterIn, out, hours, late minutes, and a map link for every mark. Flagged days are shaded.

Employees sign in themselves

Give somebody a sign-in from People → Sign-in. The password is shown once; they change it the first time they use it. They open My attendance & leave in their account menu on their phone and can:

  • mark themselves in and out
  • see their own month, their late days and their leave balance
  • apply for leave or a permission, and withdraw it before it is decided
  • read notices and open their own payslips

Salary and payroll

  1. Set a salaryBasic, HRA, allowances and the deductions. A raise is a new line from a new date — the months already paid keep their old figures.
  2. Work out the monthPay follows the days actually worked. Sundays are not counted as working days, and a day with no attendance and no approved leave is loss of pay.
  3. Check, then finaliseNothing is final until you say so. Once finalised the figures never move again — somebody may have taken that payslip to a bank.
  4. Mark paidAfter the transfer. The employee sees it on their own page.
Nothing is refused, everything is flagged

A mark from the wrong place still records — with a note saying “Marked 55.7 km from Head office”. Refusing it would leave somebody standing outside arguing with a phone while their day starts. Flagging it puts the question in front of a supervisor on Monday, which is where it belongs.

Leave and permission

Permission is the short one — two hours for bank work — and it does not spend a leave day. Leave is a day or more. Overlapping requests are refused, and approved leave writes itself onto the muster so those days read “leave” rather than looking like an unexplained absence.

Notices

To everybody, to office staff, to field staff, or to one person. Somebody sees only what is addressed to them.

Start hereA clickable layout drawing

Your own plan, with each plot marked on it. A customer taps a plot and sees its size, facing, road width and price.

  1. Upload the drawingProject files & sharing → Layout diagram. A photo or a scan — not a PDF, because a PDF cannot be drawn on in the browser.
  2. Open “Mark the plan” from the account menuChoose the project. The drawing appears with your plots listed beside it.
  3. Drag a box round each plotThen choose which plot it is. Only plots not already marked are offered, so the same one cannot be marked twice.
  4. Press SaveNothing is written until you do. A green dot appears against every plot that has been placed.
  5. Share the projectThe customer’s page shows the drawing with every available plot marked, and tapping one opens its details.
Only available plots are marked for the customer

A held or booked plot is left off the shared drawing. Offering one somebody is already deciding on is how two families get shown the same corner.

Positions are kept as percentages of the drawing rather than as pixels, so the same marks hold on a phone, on a desktop and printed at A3 — and re-uploading the drawing at a different size does not move every plot.

Start hereThe customer portal

One link per buyer. They open it on a phone and see their own plot, what they have paid, what is left (a cheque still with the bank is shown apart), their receipts, documents, agreement, layout updates, registration status and where they are on the way to handover. They can also raise a request or complaint and read your reply, pay an instalment online, and open or print any of their receipts.

  1. Account menu → Customer portal linksChoose the buyer, press Create their PIN, then Copy a message to send and paste it into WhatsApp. They sign in at /portal.html with their own mobile number and the four digits, or with a code sent to that number (needs your SMS or WhatsApp connection; without one the code goes to the buyer's email on file).
  2. The PIN is shown onceIt is stored scrambled and cannot be read back — not by you, not by us. If a customer loses it, create a new one.
  3. If they lock themselves outFive wrong PINs locks the number for fifteen minutes. Press Unlock them and they can try straight away.
  4. Post reminders to itPayment due, registration date, a document you still need. A construction update goes to every buyer in one project, or in the whole company. Posted to buyers shows what went out and whether each buyer has read it.
  5. Buyers paying onlineConnect your own Razorpay under Settings → Connections (and paste the webhook address it shows into Razorpay → Webhooks, events payment.captured). Buyers then see Pay beside each unpaid instalment and a Pay online box on their page. The money goes straight to your account; the moment Razorpay confirms it, a receipt is recorded against the booking (UPI, card or online), applied to that instalment, posted to your books, and the accounts team is told. Without Razorpay connected, the page simply does not offer it.
  6. Requests from buyersWhat a buyer raises from their page lands on the service desk as a ticket from the portal. Reply on this screen (or on the ticket with show to customer ticked) and the buyer sees it on their page; they can answer back.
  7. New link / Remove their accessIf a phone is lost or a link was forwarded, press New link — every copy already sent stops working. Remove their access stops every link and their PIN.
A reminder is not a message

A reminder sits on the buyer’s page and they see it next time they open it; posting one sends no SMS or WhatsApp by itself. Only the sign-in code is sent to the buyer. Telephone them if something is urgent.

What a buyer cannot see

Anything about any other customer, and anything about your margin. They see the price they agreed and what they have paid — not what the plot cost you, not what the neighbouring plot sold for, not how many plots are unsold. Tested: a second buyer’s link cannot open the first buyer’s documents even by editing the address.

Start hereAI Copilot

An assistant for the sales team and managers, from Account menu → AI Copilot (or the round ✦ button at the bottom right of every screen). It answers from your own records, with the same permissions and data scope as the person's own screens. It is a module of its own: ask Riksa AI to add it if you do not see it.

  1. Ask by voice or textPress the microphone (Chrome or Edge; English, Tamil or Hindi) or type: "Show me Murugan's details", "Remind me to call Kumar tomorrow at 4 pm about the quotation", "Schedule a site visit with Priya on Saturday at 11", "Sales forecast for 3 months", "Who should I call today?". Anything it would create — a follow-up, a meeting, a site visit — is shown first and made only when you press Confirm. Tick Read answers aloud to hear the reply.
  2. Summaries & draftsPick a customer to read their whole history in a few lines: calls (with call-recording summaries), visits, quotations, WhatsApp and follow-ups, with what is still open. Draft a personalised follow-up email in English, Tamil or Hindi. Paste any email thread, notes or call transcript to get the summary, action items and questions asked.
  3. BuilderWrite a sentence and it makes: an email template (saved as Pending under Communications), a workflow of automatic messages (created switched off — review it, then switch it on), a module of your own (e.g. "Broker meetings: date, broker, phone, plots discussed, status") with its records, and a Canvas view — a record layout read from a photo of a sketch on paper, or from a description.
  4. PredictionsEvery open enquiry's chance to book (Hot, Warm, Cold), every open deal's chance to win with its risks, and every booked customer's risk of cancelling or defaulting, each with the facts that moved it and what to do. Press Learn from our history once you have marked enough enquiries as lost: it learns from your own booked and lost enquiries, tests itself on a quarter it did not see, and uses what it learned only if it ranks well.
  5. Revenue & next actionsBookings and collections expected month by month, with a range; every sales target against the calendar, with alerts when someone's week is far outside their usual; how the gap can be closed and which deals cover it; and the next best action for each enquiry with the best time to do it, learned from when your customers actually answer.
It never invents a number

Figures, dates and amounts come from your records. The AI (when connected under Settings) only reads what was asked and writes the words of a summary or draft from the facts it is given. Without the AI everything still works: summaries are built from the records, drafts come from a template for the customer's stage, and only reading a sketch needs the AI.

Start hereCompanies and setup

Why this module exists

Everything in this product belongs to a company. Nothing else can be created until one exists, which is why this is step one and not a settings screen you visit later.

Land and projectsLand bank and joint development

Several sellers on one parcel. Land here is rarely held by one person — three sisters inheriting from a father, a joint family selling through a karta, an absent owner selling through a power of attorney holder. The Sellers tab takes as many as sign the deed, each with their share, their PAN and their bank details.

Record the father's or husband's name against each. Revenue records identify people that way — a patta reads "son of Ramasamy", not by surname — and matching a seller to a patta without it is guesswork.

Split the consideration divides the price by the shares entered and puts the rounding remainder on the primary seller. Two warnings sit above the table because both cost money: who has not signed yet, and who has no PAN. Section 194IA deducts at 20% instead of 1% without one, and the liability is yours.

Expenses on a land development records each bill against the work line it belongs to, so the works tab shows real spend rather than sitting at zero however many bills have been paid.

Every parcel you own or are negotiating, and agreements where the land is somebody else’s.

Why this module exists

Land cost is what decides whether a layout was worth doing. Recorded here once, it flows into every project P&L without anybody re-entering it — and a layout whose land cost lives only in somebody’s notebook cannot be judged at all.

Land Parcels

Every piece of land you own or are negotiating for. Recording what you paid here is what lets the system tell you, later, whether a layout was worth doing.

Gross share Required An amount in rupees. Type the figure only — no commas and no rupee sign.
TDS deducted Optional Tax deducted at source. Entered here, it flows straight into the TDS return. Entered later from memory it is usually entered wrongly, and the gap turns up when somebody reconciles 26AS months afterwards.
Net paid Optional An amount in rupees. Type the figure only — no commas and no rupee sign.
Paid on Optional A date, written day-month-year. 05-08-2026 means the fifth of August, not the eighth of May.

Land and projectsProjects

A layout, a villa community, an apartment tower, row houses, farm plots, commercial or warehousing.

Why this module exists

The type you choose changes the form, the cost heads and the approval list — because a plotted layout and a warehouse do not carry the same information, and a form that pretends they do collects the wrong things for both.

Projects

A layout, villa scheme, tower, row-house scheme, farm plots, commercial block or warehouse. Choose the type carefully — it changes which boxes you are asked for, and it cannot be changed once plots exist.

Land and projectsPlots, units and the availability board

The plot schedule is the sheet a sale deed is drawn from. On a project, it lists every plot with its area, its survey number, the four boundary descriptions, whether its area has been checked and when its corners were marked.

Dimensions say how long each side is. A deed schedule needs what each side is bounded by — "North by Plot 42, East by 9 m internal road, South by Plot 38, West by Survey No. 142/2C". That sentence goes into the deed and into the sub-registrar's record, and it cannot be worked out from a measurement. Writing it at the appointment from memory is how a plot gets registered with the wrong neighbour named on it.

Press Mark to record the boundaries, the date the corners were set from survey control points, and that the area was checked against both the survey and the approved plan — with who checked it and when. Ticking "verified" with neither name nor date is refused: a tick on its own is not a verification. The top of the screen says what is missing before a deed can be drawn.

The Budget tab shows the project against the eighteen categories a layout is planned in, then the six feasibility figures. Anything that cannot yet be worked out reads "not yet established" rather than zero, because a break-even of ₹0 reads as free.

Every plot, villa or shed with its size, facing, road width and guideline rate.

Why this module exists

The availability board is the screen you turn towards a customer. Colour carries the status, the tile carries the number and the size, and a plot can be enquired on or booked from the panel without leaving the screen.

Units

Every plot, villa or shed in a project, one at a time. If you have hundreds, use Import your data instead of typing them.

Company Required Pick which of your companies this belongs to. Everything in the system sits under a company, so this decides which set of books it lands in. Pick the wrong one and moving it later means reversing entries in a month that may already be closed — worth a second look before you save.
Project Required Pick the layout, villa scheme or tower this belongs to. It is what puts the record into that project's reports — leave it wrong and the project's figures will be wrong with it.
Survey number Optional The revenue survey number. It appears on the sale deed and on the patta, so a buyer's lawyer will check it against what you have written here.
Measured in Optional Answer this first — the four sides below are read in whatever you choose here
East side Optional A number. Figures only.
West side Optional A number. Figures only.
North side Optional A number. Figures only.
South side Optional A number. Figures only.
Total area Optional The size in square feet. Everything measured per square foot comes from it — the plot value, the guideline value, the maintenance bill. The same figure is shown in cents beside the box, so you do not have to work it out.
Facing Required Which way the plot faces. Buyers ask about this and it moves the price, so it is worth being accurate.
Road width in front Optional The road in front of the plot. Wider roads sell for more. The choices come from Master data, so you can add "50 ft" yourself without asking anybody.
Rate is per Optional Choose this first — the rate below is read as an amount per whatever you pick
Selling rate Optional Your asking price per square foot. Multiplied by the area, this becomes the plot value that appears on quotations.
Total sales value Optional Type it in as words.
Guideline is per Optional Choose this first. Districts publish the guideline per square foot, per square metre or per cent — check the notice.
Guideline value Optional The government guideline rate per square foot for this area. This matters more than it looks: registration duty is charged on your sale value or the guideline value, whichever is higher. Fill it in and the system warns you when a sale falls below it, so the buyer can be told before they reach the sub-registrar and find the duty is more than they expected.
Total guideline value Optional Type it in as words.
Token % for this plot Optional Leave empty to use the project’s percentage
or a flat token Optional A fixed amount, used instead of any percentage
Charges worked out on Optional Stamp duty, registration and the rest are a percentage of this
Total value Optional Area × rate
Stamp duty Optional An amount in rupees. Type the figure only — no commas and no rupee sign.
Registration charges Optional An amount in rupees. Type the figure only — no commas and no rupee sign.
Document charges Optional An amount in rupees. Type the figure only — no commas and no rupee sign.
Other charges Optional An amount in rupees. Type the figure only — no commas and no rupee sign.
That status since Optional For a plot sold or held before this system. Leave empty for a new one.
Status Required Where this stands right now. It decides the colour on the boards and which buttons you are offered next.
Held until Optional Only when the status is held
Corner plot Optional Tick if this is a corner plot. Corner plots usually carry a premium.
Facilities & highlights Optional Choose from the list. If it is empty, whatever it draws from has not been created yet.
Remarks Optional Free text for whatever the other boxes do not cover.

SellingEnquiries and follow-ups

Every walk-in, call and portal enquiry, from first contact to booking.

Why this module exists

The loss reason is the field that earns this module its place. Six months of loss reasons tell you whether you are losing on price, on location or on follow-up — three problems with three completely different answers, and without the field you are guessing at which one you have.

Every person who enquires. Capture the name and mobile while they are standing in front of you; the rest can be filled in afterwards.

SellingSite visits and call logs

Visits booked and what came of them; every call, its outcome and its recording.

Why this module exists

Cost per visit and cost per booking come from here. A recording link is what settles a disagreement about what was promised on the phone.

Site Visits

Book a visit, then come back and record what happened. Over time this tells you what a site visit costs you and how many turn into bookings.

SellingQuotations

A cost sheet for one plot and one customer.

Why this module exists

A discount beyond your threshold goes for approval before the quotation can be sent. That is the control that stops a salesperson discounting away the margin on a plot to close a month.

SellingBookings and payment plans

Where a plot becomes a sale, with either construction milestones or monthly instalments.

Why this module exists

Received and Balance are not typed here — they are worked out from receipts. A figure somebody can type is a figure that can disagree with the ledger, and then nobody knows which is right.

MoneyDemands and receipts

Demand notes raised against instalments that are due, and money as it arrives.

Why this module exists

Every figure on a demand comes from the plan the buyer signed, so a demand can never disagree with the agreement. That removes a whole category of dispute before it starts.

A demand note asking a buyer for an instalment that is due. You pick the instalment; every figure comes from the plan they signed, so it cannot disagree with their agreement.

Project Required Pick the layout, villa scheme or tower this belongs to. It is what puts the record into that project's reports — leave it wrong and the project's figures will be wrong with it.

Receipts

Money arriving. Record it against the demand note and the booking, the payment plan and the accounts all update together.

MoneyVendors, bills and payments

Who you buy from, what they invoiced, what you paid and what TDS you deducted.

Why this module exists

TDS entered at the moment of payment flows into the return. Entered later from memory, it is entered wrongly — and the person reconciling 26AS finds the gap months afterwards.

Vendors

Suppliers and contractors. Their bills and payments gather under each name.

34 boxes · 3 of them required

BoxNeededWhat goes in it, and why
Vendor name Required The name as you will look for it later. Everything else in the system shows this, so spell it the way you would search for it — searching for "Murugan" will not find "S. Murugan".
Legal name as registered Optional Type it in as words.
Billed to company Required Pick which of your companies this belongs to. Everything in the system sits under a company, so this decides which set of books it lands in. Phone Optional Ten digits, no spaces. This is how the system recognises somebody who has contacted you before. One wrong digit quietly creates a second, separate customer — and their earlier enquiry, visit and quotation will not be found.
Alternate phone Optional Ten digits, no spaces. It is how the system recognises somebody who has contacted you before.
Email Optional Optional. Where you have it, statements and documents can be sent here instead of printed.
Address Optional Part of the address, written as it should appear on documents a buyer will read.

MoneyThe books

Double-entry accounting that posts itself from bookings, receipts, bills and payments.

Why this module exists

You do not journal a booking by hand. The entries are made at the moment the transaction is recorded, which is the only time anybody knows enough to make them correctly.

Journal

A manual accounting entry, for the few things the automatic posting cannot know about. Most days you will not need this screen at all.

After the saleRegistration and handover

Nine stages from agreement to handover, with the sub-registrar appointment and patta transfer.

Why this module exists

A plot cannot be registered while money is outstanding — the system refuses and says how much. Registering transfers the plot, and doing it before the money is in means chasing a balance from somebody who already owns the land.

Handovers

A plot's journey from agreement to handover, in nine stages. Move it along as each step completes, and use Update message to tell the customer where they stand.

Phone Optional Ten digits, no spaces. This is how the system recognises somebody who has contacted you before. One wrong digit quietly creates a second, separate customer — and their earlier enquiry, visit and quotation will not be found.

After the saleMaintenance

Monthly billing to owners, the corpus fund, and spend measured against collection.

Why this module exists

After handover, upkeep is its own small business with its own books. GST applies only above ₹7,500 per unit per month, and the form knows that so nobody has to remember it monthly.

Reaching customersCampaigns and channels

Campaigns, social pages per company, broadcasts and message templates.

Why this module exists

The audience that earns its place is “enquiries that did not convert”. Most were lost on the plot, the size or the budget — not on you — and a new layout is a genuine second chance to people who already know who you are.

Master data is what keeps a developer out of your business. Add a cost head or a road width there and it appears on every form that uses it, with nobody touching code.

Users

The people who can sign in. Two boxes are easily confused: Designation is their job title and changes nothing; Role decides what they can open. Give each person the narrowest role that lets them do their job — they simply will not see buttons outside it.

7 boxes · 3 of them required

BoxNeededWhat goes in it, and why
Full name Required The name as you will look for it later. Everything else in the system shows this, so spell it the way you would search for it — searching for "Murugan" will not find "S. Murugan".
Designation (job title) Optional Their job title — Sales Manager, Site Engineer, Accountant. It appears on screens and reports and nothing more: it does not decide what they can open. Titles come from Master data → Designations, so you can add your own.
Work email Required Optional. Where you have it, statements and documents can be sent here instead of printed.
Phone Optional Ten digits, no spaces. This is how the system recognises somebody who has contacted you before. One wrong digit quietly creates a second, separate customer — and their earlier enquiry, visit and quotation will not be found.
Company Optional Pick which of your companies this belongs to. Everything in the system sits under a company, so this decides which set of books it lands in. Pick the wrong one and moving it later means reversing entries in a month that may already be closed — worth a second look before you save.
Role (what they can open) Required What they are allowed to open. This is the one that matters: a Sales Executive has 29 permissions, an Accounts Manager 170, a Super Admin 356. Change this and the buttons that person sees change with it. Give everybody the narrowest role that lets them do their job.
Status Optional Where this stands right now. It decides the colour on the boards and which buttons you are offered next.

Agents

Brokers and referral partners, and the commission rate you have agreed with each.

Project Optional Pick the layout, villa scheme or tower this belongs to. It is what puts the record into that project's reports — leave it wrong and the project's figures will be wrong with it.
Partner name Required The name as you will look for it later. Everything else in the system shows this, so spell it the way you would search for it — searching for "Murugan" will not find "S. Murugan".
Firm Optional Type it in as words.

City Optional Part of the address, written as it should appear on documents a buyer will read.
Commission rate % Required Your asking price per square foot. Multiplied by the area, this becomes the plot value that appears on quotations.
Status Optional Where this stands right now. It decides the colour on the boards and which buttons you are offered next.

Approvals

8 boxes · 3 of them required

BoxNeededWhat goes in it, and why
Approval type Required Choose from the list. If it is empty, whatever it draws from has not been created yet.
Authority Required Type it in as words.
Reference number Optional A reference you will search by later. Type it exactly as it appears on the document.
Applied on Optional A date, written day-month-year. 05-08-2026 means the fifth of August, not the eighth of May.
Approved on Optional A date, written day-month-year. 05-08-2026 means the fifth of August, not the eighth of May.
Valid till Optional A date, written day-month-year. 05-08-2026 means the fifth of August.
Fee paid Optional An amount in rupees. Type the figure only — no commas and no rupee sign.
Status Required Where this stands right now. It decides the colour on the boards and which buttons you are offered next.

When stuckSomething went wrong

Nothing in this product answers with only a code. A refusal says what is wrong and, where it can, what to do about it.

A screen closed to your role names the permission it needs in plain words, who holds it, and what your own role is — for example: "It needs permission to see salary structures and payslips. That is held by the Super Admin, the Managing Director, the Accounts Manager or the HR Manager. Ask whoever administers this system to add it to your role (Sales Executive), under Administration → Roles & permissions." Take that sentence to whoever administers the system; the exact permission is printed at the bottom of the screen.

A screen saying the module is switched off is a different thing and not about your role — somebody has turned it off for the whole organisation, and it goes back on under Settings → Feature control without losing anything.

Refusals inside a form work the same way: "Documents have already been issued on this series", "That payslip is not yours", "₹33,80,000.00 is still outstanding on this booking". Each names the cause, and most name the fix.

What you seeWhat to do
A grey box: “This screen could not open”Press Copy these details and send them. The box names the screen and the build, which is what anybody fixing it needs.
An error naming a fieldThat field is the problem, and it will be marked in red on the form. The message says what is wrong with it.
A dropdown is emptySomething earlier in the chain does not exist yet. No projects means no project dropdown; no plots means no plot dropdown.
A list is empty when you expected recordsCheck the “Working in” box at the top of the menu. You may be looking at a different company.
Something saved is gone after a refreshReport it with the screen name. That should not happen and is worth investigating rather than working around.

When stuckWhat it cannot do yet

Some AI buttons still use templates. Ask the agent, reading a land document, checking a title opinion, the risk briefing and the gate statement all call the AI for real. Creative Studio and the Post Wizard do not yet.

No AI prompt has been tried against a real provider by us. Everything that handles a reply is tested; the quality of the replies is not. Try it on ten documents whose answers you already know before trusting it on one you do not. Nothing it produces is saved unless you accept it.

Nobody has walked these screens in a browser. Every screen is checked to render its data and every button to reach a route that exists — which is not the same as somebody looking at them. If something is off it will be spacing or a column width, not a broken function.

Said plainly, so you are never surprised in front of a customer.

Nothing sends by itselfNo SMS, WhatsApp or email has ever left this installation. Messages are written for you to send.
Nothing runs on a scheduleA scheduled post will not go out and a reminder will not email itself until a cron job is switched on.
The AI screens do not call the AI yetThe endpoints work; Creative Studio and Post Wizard still use templates.
Some newer reports have no screenProject P&L by date, profitability, sales by person and sales by business type work through the API and are not yet on the Reports page.
